POSITION: Accounts Payable Clerk/Audit Support Specialist

REPORTS TO: Finance Manager

PREFERRED LOCATION: Ottawa, Ontario, Canada

TERM: August 15, 2024 -March 15, 2025

OVERVIEW

We are seeking a detail-oriented and experienced Accounts Payable / Audit Specialist to join our dynamic finance team. The ideal candidate will be responsible for managing accounts payable functions efficiently while ensuring compliance with audit requirements and internal controls.

Accounts Payable

  • Completing payments and controlling expenses by receiving, processing, verifying, and reconciling invoices
  • Ensure accurate coding, vendor payment information, and overall data for payables submissions.
  • Expense Reporting: Reviewing and processing employee expense reports, ensuring compliance with company policies, and facilitating timely reimbursements upon receiving properly completed submissions.
  • Record-Keeping: Maintaining organized records and documentation for all accounts payable transactions, such as invoices, approvals, payment receipts, and vendor communications suitable for financial audits (External Auditors, funding compliance).
  • Reporting Support: Assisting in the preparation of accounts payable reports, such as aging reports and other report as required.

Audit Support Specialist

  • Searching for the documents relevant for the seven years audit, based on the extracted general ledger schedule for each year.
  • Assembly, copy, referencing, and data management of audit samples requested by auditor. Referencing of the photocopies & filing of the photocopies.
  • Liaising with the CFO on an ongoing basis
  • Meeting with the auditor to discuss on updates and new requirements.
  • Working with the auditor to ensure that the audit is seamlessly concluded.
  • Any other assignments as may be requested by the CFO.

Qualifications & Training

  • Ability to use enterprise-level financial record-keeping software systems, spreadsheets, and email applications
  • Ability to work independently and as part of a team
  • Ability to complete a high volume of work within deadlines
  • Excellent organizational and time management skills
  • Excellent interpersonal, oral, and written communication skills
  • Good problem-solving skills
  • Excellent knowledge of basic accounting concepts
  • Strong attention to detail
